Features Overview

  • Every time a regulator body identifies a deficiency, TSMS can be updated to ensure the same control is used across the sector whereever TSMS is used

  • If 20 users are audited 2 times a year NRS has 40 potential rectifications to improve safety across the user base

SMS Management

  • Internal online glossary.

  • TSMS holds the entire SMS Document Library and auto PDF word documents when uploaded.

  • KPI statistics on document control on the overview page.

  • Searchable register of all documents in the SMS.

  • Healthy status bars to indicate document status.

  • Track review dates and reflects on governance calendar.

  • Archive for out of date or superseded documents.

  • Assign documents to a specific area of the organisation.

  • Classify a document (policy, procedure or form etc).

Risk Register

  • Incorporated Risk Register that can be assigned to location/s or be company wide

  • Based on the result of a risk review TSMS automatically updates the governance calendar based on the defined review period

  • For Rail Safety Risks the ONRSR Classification can be added allowing TSMS to link new occurrences to the Risk Register automatically (we can update to be organisational specific too for non Rail Safety Risks)

  • Controls can be Attachments, Linked Documents or Safety Actions

  • Link risks directly to occurrences

  • Leave comments attached to the risks for future review

Occurrence Management

  • Log, store and trend incidents and hazard reports.

  • Creates a searchable register of all occurrences.

  • Link directly to documentation, risks, events, locations or tasks.

  • Assign investigators to an investigation (TSMS will automatically advise them of the role).

  • Track investigation status through weekly reports

  • Upload attachments related to occurrence for storage

  • Assign regulatory classifications

  • Records Drug and Alcohol testing information

  • Safety Actions directly linked to occurrence and tracked through the governance calendar and weekly report.

Inspection & Testing

  • Add all equipment in the organisation that requires inspection, testing and calibration.

  • Record relevant information like Identification, manufacturer, date introduced and asset type.

  • Create the inspection schedule and task to ensure inspection activity is undertaken correctly.

  • Assign the action to the responsible person to ensure compliance dates are met.

  • Record the inspection task, inspectors name and comments.

  • Upload attachments to validate action.

  • All maintenance actions reflected in the governance calendar

  • Record the decommissioning of assets

 
 
 

Competency

  • Basic HR file including Rail Industry Worker information. (NRS can update fields on request)

  • Create competency profiles that can be linked to individuals.

  • Medical information pre-imported and actions based on NTC rail safety worker medical requirements.

  • Upload attachments against an employee/contractor.

  • Identify areas of the SMS applicable to the employee so TSMS knows who to update for SMS changes.

  • Create once off competencies or identify and track competencies with recertification periods.

  • TSMS adds the competency and medical review periods to the governance calendar for action.

  • TSMS will identify training gaps until actioned.

  • Revoke competencies as necessary or deactivate a rail safety worker.

Online External Reporting

  • All users have access to a unique reporting portal that can be accessed online by anyone at any time.

  • Files can be attached to the report for review.

  • Once submitted TSMS will alert the administrator of the report.

  • TSMS will advise the reporter of the successful submission of a report and provide a link to update the report if needed.

  • The administrator can either select the report as a new risk and/or an occurrence.

  • Once accepted by the administrator TSMS will automatically advise the reporter of the outcome.

  • Files attached to the occurrence are automatically transferred to either the risk or occurrence.

  • All reports are saved, even if decided if they are neither a risk or occurrence. Nothing is deleted.

  • Register of reports to easily track KPI’s.

  • Statistics reported in the weekly report.

 
 
 

Alerts Broadcast

TSMS Administrators can broadcast messages across the workforce in its entirety, or selected business areas.

  • The broadcast can be used for safety messages or updates about a specific event.

  • If required TSMS can also add an acknowledgement link to ensure the person received and understood the message.

  • Records of broadcast messages are accessible from the People area of TSMS

  • Administrators can also directly communicate with individuals of the persons file.
